Creating Tasks

  • Open a new Task.
    • Edit the title by clicking in the entry field under "Title".
    • Next, set the priority of the task by using the drop down menu provided.
    • Set a completion date by clicking the "Calendar" icon under "Completion Date" and clicking the desired date.
    • The description can be added by clicking the entry field under the word "Description." The description will also be visable on the Task Management list view.
  • Assignments show the list of people assigned to the task. You can add a new assignment by clicking "New Assignment" on the right hand side. A new browser window will open from which you will choose who the new task will be assigned to, by checking the box at the left of each name.

    • When finished selecting names to be added to the task, click "Add to Task" on the upper left corner of the window. You will receive a small notification when the contacts were assigned to the task successfully.
    • After adding Assignments, specify the Project and Department for each Assignee using their specified drop down menus.
  • Clicking the "Check In/Out" button confirms that a user is working on this task. "Checking In" will turn the user's name green in the Task Management list view. Clicking the button again will check the user out of the task.
    • The user will only be able to check themselves in. They will not be able to check in other Assignees to the task.
  • To send each Assignee an email notification that a new task has been assigned to them, click the checkbox under the "Email Notice" column. After all required assignees have been selected; click the "Send Email Notification" button to send.
  • The task will be marked as Completed once all Assignees have checked the "Completed" checkbox next to their name. This will mark the task as closed in the Task Manager list view.
    • When the task is marked complete, the "Last Modified" date will change to "Date Completed." There will also be the option to Re-open the task by selecting the checkbox next to "Reopen This Task." This will make the task editable again.

  • Add comments to the task by clicking the "New Comment" icon in the upper left corner of the table area "Comments."
    • Select the "Send Email Notice to Contacts" checkbox to send an email notification to the Assignees that a new comment has been added to the Task. The notification will only be sent to the assignees with the "Email Notice" checked by their name. The email notification will not be sent to the person who made the comment.
  • There are three ways to add Attachments:
    • Add File: Allows attachment of a file from a local computer one file at a time.
    • Import: Opens a new window, allowing importing of multiple files from a local computer using a Java Application. See Importing Multiple Files.
    • Associate Files: Attach a file located in the Infinitrac Library.
      • New files may also be imported to the Library from this window.
  • To Delete any added content from an Issue, select the item you wish to delete, then click the "Delete" icon.
    • WARNING! Once deleted, there is no Undoing that action.
